Overview of Reports

If youโ€™re all about reports like us, you're in the right place! ๐Ÿ“Š We offer several different reports depending on your analytical needs. To get started, navigate to a specific report by using the links in the green box below. ๐Ÿ‘‡ Not that depending on your role, you may or may not have access to certain reports.

Important: Only Account Owners, Account Owner Admins, and Analysts will have access to the Transaction Report.

Client Report

For a broad report of all clients on your account, including not only profile information but also key subscription and one-time invoice data, head to Clients in your left-hand sidebar!

Click Export in top right-hand corner to export the report in Excel format:

Items shown on the export include:

  • Client Email 
  • Client First Name 
  • Client Last Name 
  • Display Name
  • Advisor Name 
  • Client Created Date (date added to AdvicePay)
  • Status (Active/Inactive -- an "Inactive" status means the client was deleted)
  • Active Subscription Count 
  • Unpaid Invoice Count 
  • Total Revenue 
  • Revenue YTD 
  • Next Subscription Bill Date (only populated once the current invoice billed is updated to Paid and the upcoming invoice is generated)
  • Next Subscription Bill Amount (only populated once the current invoice billed is updated to Paid and the upcoming invoice is generated)
  • Next One-time Invoice Due Date 
  • Next One-time Invoice Amount 
  • Past Due Invoice (True/False) 
  • Failed Payment (True/False) 
  • Phone
  • Client Attributes (each attribute created is listed in its own column; protected attributes will not be displayed)

Account Owners, Full-Access Advisors, and Admin/Analyst users can access this download for clients firm-wide!  All advisors with login access can download this report for their assigned clients.


Advisor Report

Important: Exporting an advisor report is available on Professional and Enterprise plans only.

More information on our plans can be found here.

To gain more information on the advisors on your account, head on over to Advisors > Export to download a .CSV file with stats for all your advisors -- both active and deleted.

The report includes the following data points:

  • Email
  • First Name
  • Last Name
  • Advisor ID (default attribute)
  • Firm Name
  • Created Date
  • Cancelled Date
  • # of Clients
  • # of Active Subscriptions
  • # of Active Monthly Subscriptions
  • # of Active Quarterly Subscriptions
  • # of Active Semi-Annual Subscriptions
  • # of Transactions Processed To Date
  • Total Revenue
  • YTD Revenue
  • Tags (protected attributes will not be displayed)

Account Owners, Full-Access advisors, and Admin/Analyst users can access this download!


Invoices Report 

The Invoices page located in your sidebar ( Transactions > Invoices) contains a combined view of both your one-time and individual subscription invoices! You can use this page to easily find and manage things like:

  • All failed invoices
  • Invoices (both one-time and individual subscription invoices) that are in the Unpaid status
  • Past due subscription invoices
  • Payments that have completed transferring to your bank account within the last quarter
  • Paid invoices with a specific Description of Service
  • Refunded invoices for specific clients
  • Invoices created by an advisor during a specific time period
  • And more!

By using the Filter function you can restrict your view to a variety of specific scenarios, then export the invoices into an Excel report or as PDFs.

What does the 'Clearing' status mean?You'll see a Clearing status on invoices that a client has recently paid via ACH! This status reflects that it takes approximately 5 business days for ACH payments to settle at the client's bank, during which point it's possible that they fail due to insufficient funds, incorrect account number, etc. Instead of immediately marking the status as "Paid" after the charge is made, we mark it as "Clearing" to show that the charge has been made and it's still officially processing at the bank. Once it's successful, it will update to Paid. ๐Ÿ™‚At this time it's not an available filter on the Invoices page.

How to Filter Invoices:

1. Click the Filters button

Tip: The Descriptions of Service category allows you to select invoices associated with saved descriptions  under "List of services" at  Firm Settings > Invoice and/or  Account Settings > Invoice.

3. Select Apply Filters 

4. Optional: to download the filtered invoices into a single PDF file, select Actions > Download Invoices

To export the filtered invoices into an Excel report, select Actions > Export to .XLSX

Items shown on the Excel export include:

  • Status (e.g. Paid, Unpaid, Refunded, Failed, Upcoming)
  • Client Name
  • Advisor Name
  • Invoice ID
  • Amount
  • Refund Amount
  • Due Date
  • Paid Date

5. To clear your filters/start over from scratch, select Filters > Reset Filters


Filter Options

Status:

  • Paid
  • Unpaid
  • Transferred
  • Refunded
  • Past Due
  • Failed
  • Upcoming
  • Offline Payment (e.g. Invoices marked as paid)

Type:

  • One Time Invoices
  • Subscription (this includes Upfront Invoices attached to subscriptions as well!)

Client:

  • Type in or select Client Name

Advisor:

  • Type in or select Advisor Name (only available to Full-Access Advisors and firm-level Admins/Analysts)

Date Invoiced:

  • From Date - To Date

Due Date:

  • From Date - To Date

Date Paid:

  • From Date - To Date

Date Transferred:

  • From Date - To Date

Description of Service:

  • Type in or select a saved Description of Service (can also type in the content of description or title to search)

eSignature Document Report

Important: This eSignature Document Report is only available on our Professional and Enterprise Plans.

To export an Excel file of all the documents created on your account, visit Document Vault > Documents and click the Export button in the top right-hand corner:

The export file includes the following information:

  • Status (e.g. Opened, Signed, Voided, etc.)
  • Advisor Name
  • Advisor Email
  • Client Name
  • Client Email
  • Recipients
  • Template Name
  • Invoice # (if a document was attached to an invoice)
  • Date Sent
  • Date Completed


Transaction Report

Reminder: If you are an Account Owner, Full-Access Advisor, or firm Admin/Analyst user, you can download transaction + payout reports anytime through your AdvicePay dashboard! 

Go to  Transfers > Credit Card & ACH and click Export at the top right of the page.

For a full report of all transfers, make sure the All Transfers tab is selected, then click Download. 

Or, to narrow the report down to specific dates, click the Select Dates tab, choose your date range, and click Download

When requesting data more than one week old, please check your inbox! We will deliver your file via email. ๐Ÿ™‚

The subject line is Your AdvicePay Bank Transfers and comes from info@app.advicepay.com.

Your export will include one excel file with two included sheets (displayed as tabs) labeled "Payouts" and "Transactions." 

Items shown on the Transaction tab include:

  • Payout ID
  • Advisor Name
  • Advisor ID (default attribute)
  • Advisor Email
  • Client Name
  • Client ID (default attribute)
  • Gross Amount
  • AP Fee (transaction fee)

  • Account Holder Name (not applicable for clients who quick-linked a bank account via Plaid before 9/16/2020)

How to find the arrival date of a specific client payment:

Both tabs include the Payout ID, while the Payouts tab includes the arrival date of each payout you've received.

To see the arrival date of a particular payment, find its Payout ID under the "Transactions" tab and match it up with the Payout ID under the "Payouts" tab.


Send scheduled transfer reports to one or more recipients

Set up a bookkeeper, virtual assistant, operations admin, or even just yourself to receive automatic daily, weekly, and/or monthly transaction reports via email! Any email address can receive these reports (even if it is already receiving reports from another AdvicePay account or it isn't associated with an admin/billing user on your firm account).

Frequency options:

  • Daily - will be sent every morning for the previous day's data
  • Weekly - will be sent Monday mornings for the previous week's data
  • Monthly - will be sent on the 1st of the month for the previous month's data

If there are 0 transactions for the reporting period, no emails will be sent.

To set up scheduled reporting, go to Emails & Notifications and scroll down to the Advisor Notifications section. Toggle the button to on for the reports you want to receive. The report will automatically be sent to your account email address.

โ“Want to add additional report recipients? Click the gear icon to access the report's settings:

Enter an Email Address and click Add. Click Save. 

Note: To remove recipients, click the "X" button next to their email address. After your adjustments, be sure to save your changes! 

Account Owners, Full-Access Advisors, and firm Admin Users are able to set up and manage report scheduling. 



Admin Report

If you're looking for a place to see all of your Administrative users on your account? We've got a great Admin Report just for that! โœจ

To export an Excel file of all the Admins created on your account head over to the left hand side inside of your account to Accounts, Admins and click the Export button in the top right-hand corner:

  • First Name

  • Admin Role (Admin, Analyst, Admin (Home Office), Analyst (Home Office)
  • Parent Advisor Email
  • Parent Advisor First Name
